How to share your screen on Microsoft Teams
Sharing your screen in Teams takes two clicks once you know where the button is. This guide covers computers and phones, sharing sound, handing over control, and what to do when the Share button is missing or the screen stays black.
Written for the current Teams app in October 2026. Microsoft moves buttons from time to time, so labels may differ slightly in your version.
Share your screen in a Teams meeting (Windows and Mac)
- Join the meeting in the Teams app or in your browser.
- In the meeting controls at the top of the window, select Share (the icon with an arrow pointing up out of a box).
- If you want others to hear your computer's audio, for example a video, turn on Include sound first.
- Choose what to share: your whole Screen, a single Window, a PowerPoint file or a whiteboard.
- A coloured border shows what everyone can see. To finish, select Stop sharing in the meeting controls.
Tip: share a single window rather than your whole screen. Chat notifications, email previews and other apps then stay private.
Share your screen on Teams on a phone
- In the meeting, tap More (the three dots).
- Tap Share, then Share screen.
- On iPhone and iPad, confirm with Start Broadcast. On Android, confirm that Teams may capture your screen.
- To stop, tap Stop presenting in Teams, or stop the broadcast from Control Center on an iPhone.
Give or take control
While you share, select Give control in the sharing toolbar at the top of your screen and choose a participant. They can then click and type on what you share. Select Take back control to end it. Someone else can also ask for control while they view your screen, and you decide whether to accept.
Share your screen in a Teams chat
Outside a meeting, open the one-on-one or group chat, start a call from the top of the chat, and use Share in the call controls as described above.
Share button missing or sharing not working?
- You are an attendee, not a presenter. The organiser can let you present from the participant list, or change Who can present in the meeting options.
- Your organisation turned it off. Admins can disable screen sharing for some users or for guests. Ask your IT team.
- Black screen on a Mac. Teams needs permission to record the screen: System Settings, Privacy & Security, Screen Recording (Screen & System Audio Recording on recent macOS). Turn Teams on, then quit and reopen it.
- Teams in the browser. Use a current version of Edge or Chrome, and allow screen sharing when the browser asks.
- Slow or blurry screen. Share one window instead of a large high-resolution screen, and close video-heavy apps.
Need to share your screen with someone outside Teams?
Guests can join Teams meetings from a browser, but they often wait in the lobby. If you just want to show your screen to a client, a friend or a family member quickly, Abeedesk screen sharing works from a link with no account for anyone. It suits quick conversations with up to 4 people.
Questions people ask
Can people see my notifications when I share on Teams?
When you share your entire screen, yes. Share a single window instead, or turn on Do Not Disturb before the meeting.
Why do others not hear the video I share on Teams?
Sound is only shared when Include sound is turned on. You can turn it on before sharing or from the sharing toolbar.
Can I share my screen on Teams without being the organiser?
Yes, as long as you are a presenter. By default many meetings let everyone present, but organisers can limit it.
